Main Purpose of the Job
Responsible for assisting the Procurement Compliance and Shared Services Manager in the daily procurement activities such as but not limited to purchase transactions, monitoring and reporting of utilization under the contracts/agreements, and vendor coordination.
Duties and Responsibilities
- Ensure that the vendors/contractors adhere to the Company Code of Business Principles and comply with QHSE Policy and Procedure
- Ensure maintenance and update of ISO quality records, guidelines and procedures.
- Assist in the resolution of system issues and vendor performance issues concerning purchase orders and delivery schedules.
- Assist in the disposal and/or resale of manufacturing assets, factory wastes and production scraps.
- Assist in vendor management activities i.e. basic data gathering, performance reporting, etc.
- Support solicitation of quotes from vendors and document procurement transactions i.e. summarizing received quotes, for strategic sourcing activities and catalogue setup in the system.
- Prepare and/or maintain procurement transaction files and documentation including reports on purchase orders and contract status with the vendors.
- Coordinate with vendors to ensure the timeliness and completeness of deliverables per terms and conditions of the orders/contracts; coordinate with the vendors and operations teams for the prompt resolution of complaints and concerns.
- Prepare a support document for processing payments to vendors as needed.
- Responsible for following through on all procurement activities and monitoring compliance with the terms and conditions of the contract/agreement.
Qualifications
- Graduate of any Bachelor’s Degree in Arts or Sciences such as Business Administration, Engineering , Quality Management or a related field
- Good oral and written communication skills
- Good external relationship building skills
- Good coordination and project management skills
- Experience: Previous experience in process improvement, auditing or documentation roles
- Familiarity with ISO Standards and other relevant industry standards
- Knowledge of Audit procedures and the ability to conduct thorough and effective audits
- Skilled in creating process flowcharts and diagrams using tools like Diagram.
- Certifications such as Certified Quality Auditor (CQA), Six Sigma, or ISO Lead Auditor can be beneficial
- Familiarity with software tools used for process documentation and analysis such as Microsoft Office, Visio, or specialized audit software
- Training in process improvement methodologies like Lean, Six Sigma, or Total Quality Management (TQM).
- Amenable for a 5-days compressed workweek schedule
- Willing to work and report onsite in Calle Industria, Bagumbayan, Quezon City
